Nightfox is a brand trademark of Laserware Ltd, so these are the Laserware Ts & Cs.

Who we are
Our address is Laserware Ltd, 1 Filwood Park Lane, BS4 1ET. Our company registration number is 08099610. Our data protection officer is Charles Rivett-Carnac. If you wish to get in touch regarding your data, please e-mail gdpr@laserware.co.uk.

Placing an order
We accept orders both through the website and over the phone. We can take card payment over the phone for orders placed within the UK, but the billing address must match the delivery address. We reserve the right to cancel an order if any discrepancies are spotted by our sales team. Customers will receive email notifications about orders and delivery updates. Please see our Privacy Policy for details.

Returns
Returns are accepted for any reason up to 30 days from the day of delivery. Goods must be in as-new condition. All of our products are covered by an 2 year warranty, with products being repaired or replaced if a fault occurs. We can provide a free courier returns label for any faulty items that need to be returned to us – please contact us for more details. If you wish to return a product for any reason, please e-mail us at queries@laserware.co.uk with your name and order number.

Trademarks
Our trademarks, some but not necessarily all of which are listed below, may not be used in connection with any product or service that is not Laserware’s, in any manner that is likely to cause confusion among customers, or in any manner that disparages or discredits Laserware. All other trademarks not owned by Laserware that appear in any Laserware service are the property of their respective owners, who may or may not be affiliated with, connected to, or sponsored by Laserware.

This privacy policy explains what personal information Laserware Ltd, trading as Nightfox (“us”, “our”, “we”) collects when you place an order, browse our website, or otherwise interact with us, how we use that information, and the circumstances in which we may share it with others. We are committed to keeping your personal information secure and confidential, and we comply with the UK General Data Protection Regulation (“UK GDPR”) and the Data Protection Act 2018 (“DPA 2018”), as amended by the Data (Use and Access) Act 2025. Where we process personal data of customers based in the EU/EEA, we also comply with the EU General Data Protection Regulation (Regulation (EU) 2016/679) (“EU GDPR”).

This policy applies to purchases made through our website (nightfoxstore.com), our Amazon UK storefront, and any other UK or EU sales channel we operate.

Lawful basis for processing your data

We are a Data Controller for the purposes of UK GDPR and EU GDPR. We process personal data lawfully, fairly and transparently, relying on the following lawful bases depending on the purpose:

  • •  Legal obligation — for example, retaining records for tax, accounting, or product safety/recall purposes
  • •  Legitimate interests — for example, preventing fraud, keeping our systems secure, and improving our website and services, where this does not override your rights and interests
  • •  Consent — for example, optional marketing communications or non-essential website cookies, which you can withdraw at any time

Personal data we collect

We collect personal data that you provide directly when placing an order or contacting us, and data generated automatically when you use our website. This may include:

  • •  Name, billing address, and delivery address
  • •  Email address (encrypted where you order via Amazon)
  • •  Telephone number (where provided; not collected for Amazon orders)
  • •  Order details: date, items purchased, value, and delivery method chosen
  • •  For website orders: the last 4 digits and expiry date of your payment card (processed via our payment provider; we do not store full card numbers)
  • •  Correspondence with our customer service team
  • •  Website usage data collected via cookies and analytics tools (see “Cookies” below)
  • •  Marketing preferences, where you have opted in

If you do not provide the data needed to process your order, we will not be able to fulfil it. We do not sell or rent your personal data to any third party.

How we use your data

We may use your personal data to:

  • •  Process, dispatch, and manage your order
  • •  Respond to enquiries and provide customer support
  • •  Prevent and detect fraud or other crime
  • •  Carry out anonymised statistical analysis (this data cannot be used to identify you)

  • •  Send you marketing communications, where you have consented to receive them (you can opt out at any time)

We treat all information we hold about you as private and confidential, and will not disclose it to anyone outside our business except:

  • •  Where we are required or permitted to do so by law

Third parties who process your data

We share your data with our suppliers, service providers, and contractors only as needed to fulfil your order or run our business. Depending on how you place your order, your data may be processed by:

  • •  If ordering through eBay: eBay (UK) Limited and PayPal (Europe) S.à r.l. et Cie, S.C.A.

The following data processors may also receive and process your data on our behalf, in connection with running our business:

  • •  Veeqo Ltd — our order and inventory management software
  • •  Xero (UK) Limited — our accountancy software
  • •  Google Workspace — our email and productivity services
  • •  Google Analytics — website analytics (see “Cookies” below)
  • •  Trustpilot A/S — our website review platform (only if you consent to leave a review)
  • •  Zednesk — our CRM software

Your data will also be shared with the courier delivering your order. Couriers are not classed as data processors under ICO guidance — they act as “a conduit between the sender and recipient.” Our couriers may include:

  • •  Parcelforce
  • •  DHL
  • •  Amazon Logistics
  • •  DPD

Couriers may email or text you with delivery updates but will not use your contact details for any other purpose.

We may also disclose your data where we are under a legal duty to do so, for example in response to a court order or regulatory request.

How long we keep your data

We retain your data for as long as necessary for the purpose it was collected, and to meet our legal obligations. In particular:

  • •  Order and financial records are kept for accounting and tax purposes, generally for 6 years, in line with HMRC requirements
  • •  Under the Consumer Protection Act 1987, we have a legal duty to be able to contact you in the event of a product recall. We retain your name, address, product purchased, order reference, and email address for 10 years for this purpose only
  • •  Cookie and analytics data is retained for no longer than 14 months (see “Cookies” below)

Cookies

We use cookies, together with Google Analytics, to understand how visitors use our website and to help us improve it. Some cookies (for example, those needed for the site to function, or for basic analytics that does not build a profile of you) may be used without asking for consent, in line with current PECR rules. Where cookies are used for marketing or profiling, we will ask for your consent first, and you can withdraw it at any time via our cookie settings. Analytics data is retained for a maximum of 14 months.

Your rights

Under UK GDPR and EU GDPR, you have the right to:

  • •  Request a copy of the personal data we hold about you
  • •  Have inaccurate data corrected
  • •  Ask us to delete your data (see below)
  • •  Restrict or object to certain processing
  • •  Data portability, where applicable
  • •  Withdraw consent at any time, where we rely on consent

We will respond to requests within one calendar month, free of charge, unless a request is manifestly unfounded, excessive, or repetitive, in which case we may charge a reasonable fee or decline to act.

Right to complain. If you’re unhappy with how we’ve handled your data, please contact us first at gdpr@laserware.co.uk so we can try to put things right — we aim to acknowledge complaints promptly and keep you updated on progress. You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at any time at www.ico.org.uk. If you are based in the EU, you may also complain to your local data protection supervisory authority.

Your right to have your data deleted

You can ask us to delete the data we hold about you by emailing gdpr@laserware.co.uk with the subject “Delete my data request.” We will erase eligible data within one month. Please note that, for legal reasons relating to accounting and product recall obligations, we may need to retain some data for the periods set out above even after a deletion request.

We may update this policy from time to time to reflect changes in our business or the law. The date at the top of this page shows when it was last updated.
